Smart Receipts turns a photo of a supply house receipt into a draft purchase order in PartsManager, already matched to your parts catalog, so techs stop typing line items by hand. Your team edits, accepts, or rejects each line, and nothing posts until someone confirms it. The result is less unbillable tech time and cleaner job costs.
When a tech comes back from the supply house with a handful of parts and a crumpled receipt, someone still has to type every line into a purchase order. That doesn’t feel like the best use of anyone’s time.
On one ride-along we took in February of 2026, that took a tech ten minutes, and across every supply run, every tech and every week those minutes add up to unbillable time, plus the typos that can surface when the office tries to match invoices.
What Smart Receipts does
Smart Receipts is one of the Smart Assistants built into ServiceTrade. The tech photographs the receipt, and within seconds Smart Receipts reads the line items and returns a draft purchase order (PO) in PartsManager that’s already matched to your parts catalog. The tech reviews the draft and confirms it, so your team spends seconds checking instead of minutes entering.
Why the catalog match matters
Reading text off a receipt is the easy part. What saves your office real work is matching each line to the parts you actually stock, which Smart Receipts does in three steps for every line:
- Exact item code: It first looks for an item in your parts catalog with the same code as the SKU or part number on the receipt
- Description match: If there’s no code match, it compares the receipt description to the names of items in your catalog
That means office staff receive a PO that’s already lined up to the catalog, instead of a blank form to key in or a block of raw text to clean up.
And since the PO is tied to the job in PartsManager, those parts costs land on the work order they belong to, which is how you end up knowing what every job really costs.
Your team stays in control
Smart Assistants are there to help the person doing the work rather than acting on their own, and Smart Receipts follows that approach: nothing posts to PartsManager until someone confirms it.
For every draft, your team can edit a line that needs correcting, accept the lines that look right, or reject a line that doesn’t belong.
That review step is deliberate. Smart Receipts suggests and your team decides, which keeps bad data out of your AP workflow and means fewer exceptions at invoice matching.
We can’t and don’t promise a perfect read on every receipt, but we did tests on 2,000 production receipt photos from ServiceTrade accounts, including some difficult real-world ones, and we built the fallback so a hard-to-read line shows up for review instead of disappearing.
ServiceTrade centralizes operations so teams can move faster and stay proactive
What this means for your day
- For techs: Scan the receipt and move on to the next work order, so the day ends on time instead of with paperwork to catch up on
- For office and AP: Receive drafts that are already matched to your catalog, which cuts down on corrections before invoice matching
- For owners and GMs: Spend less back-office time per receipt and get cleaner job costs, with no change to who approves spend
A quick check for your own shop
Ask your techs how long a receipt takes to enter after a supply run, then ask your office how often they have to correct those POs before invoice matching. If either answer surprises you, that’s the time Smart Receipts is built to give back.
Smart Receipts works inside PartsManager, so it fits into a job your team already does, and it sits alongside the other Smart Assistants in ServiceTrade that capture job details, draft customer communication and summarize context, so your team documents less and gets to billable work sooner.
